You’re invited!

Our first ever Virtual General PTA Meeting information will be Tuesday, September 8 at 9 AM.

This will be a general meeting for anyone who would like to attend.  We will be electing the officers for the current school year, approving the completed audit, and approving the budget.  Following the general meeting, we will convert to a board meeting and discuss the open committee positions, changes for the current school year, and updates from each committee on their plans.

With the different climate this year which restricts volunteers from entering the school building, we had fewer PTA events.  So far this year we have been able to provide one support function, the “Welcome Back Luncheon” for faculty and staff. Thanks to the Hospitality committee for arranging this special meal.

Please see the document PTA General Meeting Agenda for your review (on PTA website).  Due to the fact that we were unable to reassemble a nominating committee, we will be taking nominations from the floor for all the elected positions. Nominees can self-nominate. Only paid members of the PTA can vote on business. Elections require people to be members for 30 days prior to the election. Anyone that was part of the PTA last year can vote because membership doesn’t expire until September 30. Please email [email protected] if you have any other items of business you would like to add to the agenda.

Please also look at the PTA Board Roster  for this year.  If you have already volunteered for a position, please review the roster carefully to confirm you are assigned the requested position and your contact information is correct.

Current open positions on the PTA Board Include:

  • Membership: Assist with the PTA Membership drive the first two months of school. Communicate the details of membership options and benefits.  Work with treasurer on number of members to pay required state and National PTA dues.  Train in PTA required software “MemberHub” and enter all required information as instructed by state and National PTA.
  • Technology: Tech guru wanted to help PTA committees with streamlining communication platforms, website maintenance, virtual meeting navigation, and other technology questions/needs of PTA board members.
  • Marquee:  Work with front office & Friends of Hendricks to update marquee at front of school with current information. Ideal position for working parent.
  • Historian: Collaborates with Yearbook committee to obtain pictures of PTA events, collect all PTA flyers & news articles and compiles a scrapbook to be entered in a DCCPTA competition in April. Ideal for working parent.
  • Kindergarten Liaison:  Communicates closely with Kindergarten homeroom representatives to ensure they know the “ins and outs” of Hendricks and the PTA.
  • Special Events: Purchase refreshments for twice-yearly Reading Celebration (October & December)

There are a number of PTA committees that will (hopefully) need chairs and/or volunteers later in the year as we are allowed to resume social activities.  Please help in recruiting HAE parents to fill these vacancies by either providing me the names/contact information of those who may be interested in serving or by asking anyone who may be interested to contact me at [email protected].  Here is a list of PTA committee vacancies that need to be filled at a later date:

  • Carnival: (3 Chairs) Organize and implement Spring Carnival.  Work with business partners, vendors, Dad’s Club and room parents to help set up, run booths & attractions, and sell food during the event.
  • Donuts with Dads: (2 chairs) Organize and implement six mornings (K-5) of children inviting their Dad or other male special guest to breakfast, usually consisting of donuts, OJ, coffee and bananas.
  • Public Relations – Marketing/Promo: (2 Chairs) Work with front office to schedule HAE tours and actively promote HAE to the community.  Forward positive Hendricks stories illustrating family involvement to local news media.  Maintain the front hall PTA bulletin board – making sure information is relevant, timely and interesting for Hendricks Community.
  • Volunteer Coordinator (1-2 people) Organizes and compiles a master list of volunteers from the volunteer flyer distributed to all HAE families and also assists committee chairs with coordinating volunteers for events throughout the year
  • Teacher Appreciation Week: also arrange donuts/desserts/lunch, etc. on days during Teacher Appreciation Week in May.

The calendar has been updated only through the end of December as we are awaiting information on allowances for events based on safety and health situations as we move into 2021.

Included in the attachments for your information on our website is the HAE PTA’s 2019-2020 Audit.  We will be asking for participation to approve the finalized audit during the general meeting.

I hope many of you are able to join us for the meeting.  If you are unable to attend the meeting, please read the minutes once they are distributed via email after the meeting to make sure you are aware of the information shared at the meeting.
